When Rogers received Requests For Proposals from large corporations and office buildings looking for high-bandwidth Internet connections, they found themselves spending up to an entire week preparing responses. Their response documents were often 200 or 300 pages in length and were usually prepared by pulling together information from several teams and combining sections from other documents. ViaComp worked with Rogers to turn the RFP Response Document into a series of templates, and then we developed a tool that allowed Rogers to automated the process of building these documents. Our tool, the RFx Wizard, allowed Rogers to define what information the RFP response should contain and to define the pieces of information that were unique to the document (client name and address information, products/services being sold, cost and pricing, timelines, etc.). Based on the information entered, the RFx Wizard would generate an actual RFP response document using Microsoft Word. When complete, the document was usually 99% done and simply required a couple of manual changes before being send to the client. The RFx Wizard literally reduced the time required to complete a response from one week to two or three hours. Rogers was so satisfied with the tool, that they contracted to ViaComp to extend it to cover other types of business documents.
